How we handle information about clients, professional contacts, website visitors and applicants.
01. Who we are and how to contact us
Aperta Research is an independent research and introductions practice. This policy describes how we handle personal information in connection with our website, enquiries, research, introductions, engagements and recruitment.
For privacy questions, access or correction requests, objections or complaints, use admin@apertaresearch.com with “Privacy request” in the subject. The legal contracting party is identified in your engagement documentation. You may request the operator’s identity and business contact details before providing information or engaging us.
This policy applies to personal information, including information about identifiable people in a professional capacity. It does not replace separate confidentiality obligations or the policies of independently operated organisations.
02. Information we collect
Enquiries and engagements may involve your name, business email, telephone number, organisation, role, correspondence, instructions, commercial objectives and engagement records. Research may include professional experience, public business activity and information relevant to a defined brief.
Recruitment information may include your CV, employment and education history, work samples, availability, location, compensation expectations, work eligibility and interview correspondence. Please do not include government identity documents, banking details, health information or other sensitive personal information in an initial application.
Website hosting and security services may process IP addresses, device and browser information, request logs and access information. Our cookie settings store your preference on your device. See the Cookie Policy.
03. Where information comes from
We receive information directly when you contact us, apply for a role, provide a brief or participate in an engagement. We may also obtain relevant professional information from company websites, public registers, publications, professional profiles, referrals, clients and counterparties with authority to share it.
Public availability does not remove privacy obligations. We use information for a defined purpose, consider accuracy and relevance, and distinguish published information from matters confirmed directly. If we contact you using information from another source, you can ask about that source and the purpose of the contact.
04. Why we use information
We use relevant information to respond to enquiries; assess, scope and perform engagements; research and qualify counterparties; prepare briefs; arrange permissioned introductions; administer business relationships; consider job applications; maintain security; resolve concerns; and meet legal obligations.
We limit collection and use to what is reasonably needed for the purpose. Where a law requires a legal basis, we rely on the applicable basis, such as steps requested before a contract, performance of a contract, a legal obligation, consent or a legitimate interest that does not override the individual’s rights. We obtain consent where required and do not treat this policy itself as consent to optional tracking or unrelated uses.
06. International work
Our practice is presented across Melbourne, New York and Remote. An engagement can involve recipients in Australia, the United States or another country relevant to the brief. These locations do not mean all data is stored there. Hosting, email and other providers may process information internationally.
Before a material international disclosure for an engagement, the destination and handling requirements should be established. We take the steps required by applicable law, including appropriate contractual or other safeguards where required. Contact us for information about the recipients and destinations relevant to your enquiry or engagement. Consent to an introduction is not a blanket waiver of international-transfer protections.
07. Job applicants
Application information is used to assess suitability, communicate with applicants and administer recruitment. Access is limited to people involved in recruitment and relevant service providers or advisers. References or further checks are discussed with the applicant where required, and only information relevant to the role should be requested.
Applying does not guarantee an interview, offer or employment. We do not add unsuccessful applicants to a marketing list. If we wish to retain an application for a future role beyond the current recruitment purpose, we explain the purpose and seek consent where required.
08. Security and retention
We take reasonable steps appropriate to the information to protect it from misuse, loss and unauthorised access, alteration or disclosure. These include restricting access, using appropriate security controls and agreeing suitable channels for confidential material. No transmission or storage system is risk-free.
We retain information for as long as reasonably needed for its purpose and applicable legal, accounting, contractual or dispute requirements. Retention depends on the type of record, the engagement and applicable obligations. When it is no longer needed, we take reasonable steps to delete or de-identify it, subject to lawful retention and backup limitations.
If an incident occurs, we assess it and provide notifications where required by applicable law.
09. Your choices and rights
You can ask us to access, correct or explain the use of your personal information, object to contact, or request deletion or restricted handling. Depending on applicable law, additional rights may include portability, withdrawal of consent and review of certain decisions. Rights can be subject to lawful exceptions and identity verification proportionate to the request.
You may withdraw consent where processing relies on consent; this does not make prior lawful processing unlawful. We explain if a request affects our ability to perform an engagement or if we must retain particular records. Cookie choices can be changed at any time through “Cookie settings” in the footer.
We do not use this website to make solely automated decisions producing legal or similarly significant effects about individuals. Do not send unnecessary sensitive information with a privacy request.
10. Complaints
Contact us through admin@apertaresearch.com with the issue, relevant dates and the outcome you seek. We aim to acknowledge and investigate concerns promptly, and ordinarily respond within 30 days or explain if more time is needed, subject to any shorter legal deadline.
If you remain dissatisfied, you may contact the privacy regulator with jurisdiction. In Australia, information about complaints is available from the Office of the Australian Information Commissioner. This process does not restrict statutory complaint rights.
11. Website providers and updates
The public website is hosted on Vercel. Hosting infrastructure processes technical request data to deliver and protect the website. Vercel’s own privacy practices are described in its Privacy Notice. Our preference controls do not manage cookies on another provider’s website or its separate account services.
Email links open your email application. Your message is sent only when you choose to send it. We receive correspondence through Google Workspace and use it to respond and handle your request. The website has no enquiry submission form, payment checkout or Aperta-operated advertising or analytics trackers. See Google’s Privacy Policy.
We update this policy when our services, practices or legal requirements change. The date above identifies the current version. Material new uses will be explained and fresh consent obtained where required.
